Tollison & Webb P.A. (“Tollison & Webb,” “the firm,” “we,” or “us”) respects the privacy of people who visit our website or contact us about legal services. This Privacy Policy explains what personal information we collect, how we use it, when it may be disclosed, and the choices that may be available to you.

This Policy applies to:

• communications sent to the firm by telephone, email, text message, or similar means; and
• online intake questionnaires and related communications that the firm makes available through Tabs3 CRM and its underlying service providers.

“Personal information” means information that identifies, relates to, describes, or can reasonably be linked to an individual.

Information provided by clients and prospective clients may receive additional protection under rules governing attorney confidentiality, privilege, our professional obligations, engagement agreements, court orders, and applicable law. Nothing in this Policy limits those protections.

Information We Collect

Information You Provide

We may collect information that you provide when you contact the firm, complete an intake questionnaire, schedule a consultation, provide documents, or otherwise communicate with us. Depending on the circumstances, this may include:

• your name, address, email address, telephone number, and preferred method of contact;
• how you learned about the firm, including an advertisement, referral, or personal connection;
• the type of legal assistance you are seeking and a description of the matter;
• the names and identifying information of other people, businesses, government agencies, attorneys, law firms, or organizations involved;
• information needed for conflict screening;
• court, agency, insurance, claim, or case information, including case numbers, hearing dates, deadlines, and the status of existing proceedings;
• employment, occupation, family, financial, medical, criminal, or other information relevant to the legal matter;
• documents, photographs, notices, pleadings, correspondence, or other files that you upload or provide; and
• the contents of emails, text messages, telephone communications, and other communications with the firm.

We may collect dates of birth and other identifying information when needed for conflict screening or a particular legal matter. We request Social Security numbers only through the firm’s Rule 8.05 financial-information form or when another specific legal process requires one. Our general intake forms do not request Social Security numbers. Do not enter a Social Security number or other unrequested sensitive identifier in a free-text field or attachment.

If you provide information about another person, provide only what is reasonably necessary for conflict screening or evaluation of the legal matter.

Information Collected Automatically

When you use the website, the firm and its service providers may automatically collect:

• your internet protocol address;
• browser type, device type, operating system, and general device characteristics;
• referring and exit pages;
• pages viewed, links selected, and the date and time of your visit;
• approximate location derived from an internet protocol address;
• cookie identifiers and similar technical information; and
• referral or campaign information associated with a visit.

We do not intentionally collect a device’s IMEI number or precise GPS location through the website.

Information From Other Sources

We may receive information from a person referring you to the firm, an attorney or organization involved in the matter, an advertising or communications platform, publicly available sources, or another person contacting the firm on your behalf.

How We Use Information

A lawyer determines whether the firm can accept a matter and provides any legal advice. We do not rely solely on automated processing to make those decisions.

We do not send names, email addresses, telephone numbers, the contents of calls or emails, or information submitted through Tabs3 CRM to Google for advertising or conversion measurement.

Prospective Client Communications

Communications from people seeking legal services are handled in accordance with applicable law and the firm’s professional obligations. Those obligations can depend on the circumstances. This Privacy Policy does not expand or limit any duty that the firm may owe to a prospective or existing client.

Visiting the website, contacting the firm, or submitting an intake questionnaire does not by itself mean that the firm has agreed to represent you. Representation begins only after the firm completes its review and confirms the engagement in writing. Additional information is available in our Website Disclaimer.

Online Intake Platform

The firm’s online questionnaires are provided through Tabs3 CRM, a third-party client relationship management service. Information submitted through those questionnaires is delivered to and maintained in the firm’s Tabs3 CRM intake system.

Tabs3 CRM and its underlying service providers may process submitted information and related technical data as needed to operate, secure, maintain, and support the service.

If you do not want to use an online questionnaire, you may call the firm at (662) 234-7070 to discuss another way to provide the information we need.

Cookies and Website Analytics

The website and its providers use cookies and similar technologies for website operation, security, and analytics. These technologies may collect information about your browser, device, website activity, referring source, and interactions with links or other site features.

The website uses Google Analytics and may use Google advertising-measurement tools to understand website visits, referral sources, and advertising performance. These tools may receive browser and device information, cookie identifiers, internet protocol addresses, page activity, referral information, and campaign identifiers under Google’s own privacy practices.

Tollison & Webb does not upload client or prospective-client lists or transmit names, email addresses, telephone numbers, descriptions of legal matters, uploaded documents, or intake-form responses to Google for advertising or enhanced-conversion matching.

If you call through or interact with a Google advertisement, Google may receive technical information about that advertisement interaction under its own privacy practices. The website also contains an embedded Google Map.

You can control or delete cookies through your browser settings. Blocking cookies may affect some website functions. Google provides more information through its Privacy Policy and Google Analytics opt-out browser add-on.

How We Disclose Information

Personal information may be disclosed:

• within the firm to attorneys, employees, or contractors who need the information to perform their work;
• to providers that support Tabs3 CRM, website hosting, information technology, security, email, communications, scheduling, document storage, backup, or accounting functions;
• to analytics and advertising-measurement providers for the limited website, device, referral, and campaign purposes described above;
• when required by law, subpoena, court order, legal process, or a professional or regulatory obligation;
• when reasonably necessary to protect the rights, property, security, or safety of the firm, a client, or another person;
• in connection with a merger, succession, reorganization, or transfer of the firm’s practice, subject to applicable professional obligations; or
• at your direction or with your permission.

We may allow analytics and advertising-measurement providers to process the limited website, device, referral, and campaign information described above. We do not provide those services with intake-form contents for advertising purposes.

Tollison & Webb does not sell personal information.

Retention

The length of time we retain information depends on why it was collected, the nature of the information, conflict-screening needs, our professional obligations, legal requirements, security and dispute considerations, and the firm’s recordkeeping practices.

We may retain information concerning an inquiry or prospective client even if the firm does not accept the matter. Such information may be needed to maintain conflict records, document the firm’s response, comply with professional obligations, or establish or defend legal rights.

Information related to an accepted representation may be retained as part of the client file and according to the firm’s client-record practices. Service providers may also retain technical or system information according to their configurations and service terms.

Security

We use administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. We also use service providers to operate and protect portions of our website, communications, and intake systems.

No internet transmission, email system, website, or electronic-storage system can be guaranteed completely secure. Do not send original documents or unrequested sensitive information by ordinary email. If you believe information has been submitted to the wrong recipient or accessed improperly, contact us promptly.

Information About Minors

The website and intake process are directed to adults seeking legal services. We do not knowingly ask children to submit inquiries on their own.

Because the firm handles matters involving families, estates, injuries, criminal proceedings, and other legal issues, an adult may provide information about a minor when that information is relevant to a legal matter. We handle that information according to the same professional and security considerations described in this Policy.

Questions and Requests

You may contact us to ask about personal information you provided to the firm or to request that inaccurate contact information be corrected. We will respond as required by applicable law and subject to attorney confidentiality, privilege, conflict-screening needs, court orders, record-retention duties, and other legal or professional obligations.

Tollison & Webb is a United States law firm, and its website and intake systems are intended principally for people seeking legal services in the United States. Information submitted to the firm may be processed and stored in the United States.
